Refund Policies

This policy applies to all in-person trips and courses with Alpinistas Adventures, excluding international and destination expeditions, which have their own cancellation terms listed on their respective pages.
Cancellations 61+ Days Before the Trip
You will receive a full refund, minus a 6% processing fee.
Cancellations 31 to 60 Days Before the Trip
You will receive a 50% refund, minus a 6% processing fee.
Cancellations 30 Days or Less Before the Trip
No refunds will be issued for cancellations made within 30 days of the trip start date. This includes cancellations due to illness, injury, weather-related delays, or personal emergencies.
We strongly recommend purchasing travel insurance to protect your investment — and purchasing it early, as cancel-for-any-reason coverage typically must be added within 20 days of your deposit.
Transfers
You may transfer your booking once, at no charge, up to 30 days before your start date either to another available date or to another person. Transfer requests inside 30 days can't be accommodated, as your spot and permit are committed by then.
Courses with Digital Learning Access
If your course includes access to online materials, the following applies:
Beginner Backpacking Course / Navigation: Only 50% of the trip cost will be refunded, even if canceled 31+ days out.
Wilderness First Aid (WFA)
No refunds will be issued for cancellations made within 40 days of the course start date. Outside 40 days, the standard schedule above applies.
The extended window reflects our enrollment commitments to NOLS. Rescheduling may be available but is not guaranteed.
Private Bookings
Multi-Day Private Tours - These follow the same policy as group trips above.
Single-Day Private Tours (Book-on-Demand Day Hikes) Cancellations made more than 72 hours (3 days) in advance will receive a full refund, minus a 6% fee. Cancellations made within 72 hours are non-refundable.
Group, Organization & Third-Party Bookings
Organized groups, partner organizations, and white-label or third-party bookings run on separate terms. These terms are provided directly to the contracting party at the time of booking and are not published here.
If you're booking on behalf of a group or organization, contact us and we'll share the applicable terms.
Trip Credit Policy
Credit from a prior cancellation is not eligible for refund under any circumstances.
Credit may be transferred to another person with written approval.
All credits expire 24 months from the date they are issued.
Other Terms
Refunds are processed within 5 business days of receiving a written cancellation request. Banks may require an additional 3–5 business days.
Trips run in all weather, unless canceled by Alpinistas Adventures for safety or access reasons.
All bookings are subject to our full Terms & Conditions, including our right to adjust trailheads, routes, and itineraries based on permit availability and conditions.
Some trips may have their own refund policy that overrides this one. When that applies, it will be stated clearly in the sections above or on the trip page.

Pre-Season Priority Bookings (Summer 2027)
Priority pre-bookings allow you to reserve your spot on a Summer 2027 trip within a 15-day window before exact dates are set.
Our standard “In-Person Outing” cancellation schedule above applies based on the start date of the window you select.

Group, organization, and white-label or third-party bookings are confirmed by written agreement on the following terms:
Deposit: 25% of the total trip cost, due at booking. Non-refundable.
Final balance: due 60 days before the trip start date.
Bookings made 60 days or less before the trip: full payment due at booking.
Adding participants: group size may be increased up to 30 days before the trip, subject to availability and permit capacity. Charges for added spots are due immediately upon confirmation and are non-refundable.
Reducing participants: the billable headcount locks 60 days before the trip. Reductions made within 60 days do not reduce the balance owed; billing is based on the spots reserved at the 60-day lock, regardless of attendance.
Cancellations: The deposit is non-refundable at any time. Payments made toward the balance are refundable until 60 days before the trip; within 60 days, no portion of the trip cost is refundable.
Rescheduling: one date change permitted up to 60 days before the trip, subject to availability.

Retreats: Tahoe Weekend Retreat, Yosemite Weekend Retreat
Cancellations 31 Days or Less Before the Trip
No refunds will be issued for cancellations made within 31 days of the trip start date. This includes cancellations due to illness, injury, weather-related delays, or personal emergencies.
We strongly recommend purchasing travel insurance to protect your investment.
Cancellations 32 + Days Before the Trip
You will receive a 50% refund, minus a 10% processing fee.

Our Mt. Shasta programs are run by SWS Mountain Guides.
Their standard cancellation policy is:
A non-refundable 50% deposit is required with each reservation. If you pay your course fee in total and cancel your reservation more than 30 days prior to the course start date, 50% of the total course fee is refundable.
NO REFUNDS or credits are made within 30 days of the course starting date.
Transfer Fees:
You may move your course reservation to another scheduled course when we receive a $100.00 non-refundable transfer fee. All transfer requests must be received more than 30 days before your domestic course start date. Sorry, no transfers are made within 30 days of your domestic course start date.
Canceled Courses:
SWS Mountain Guides reserves the right to cancel and/or reschedule climbs or courses due to minimum bookings or other unforeseen circumstances. You may receive a refund or credit when the course is canceled, rescheduled, or transferred to another course. SWS Mountain Guides is not responsible for additional expenses, including non-refundable airline tickets, equipment, medical expenses, etc.
We recommend you obtain trip cancellation insurance to protect yourself.
Weather Credits and Rescheduled Climbs & Courses:
SWS reserves the right to reschedule seminars and courses due to severe weather conditions or other uncontrollable circumstances which make the course or climb unsafe to continue. Weather
Credit or Partial Weather Credit may be given for courses or climbs during or within 24 hrs. of the course start dates if severe weather conditions or other uncontrollable circumstances make the course or climb unsafe to continue. Our decision will be at the discretion of the climb leader and the Director(s) of SWS Mountain Guides.

There are no refunds for 1:1 coaching sessions.
Due to the shareable nature of digital content, there are no refunds for digital media, downloads or other material content purchases.
Physical goods may be returned within 30 days of purchase as long as they are in original condition with original tags and packaging and unworn.
If you participate in one of our subscription membership programs, you may cancel your subscription at any time. NO refunds will be offered for prior month(s) membership charges.

Travel insurance is highly recommended to anticipate last minute emergencies or life situations that may prevent you from attending the outing.
Allow up to 3 business days for Alpinistas Adventures to process your refund request with potentially an additional 3-5 business days for the banks to complete the transaction.
